How Cost Estimator Calculates
The estimator takes costs for all the services marked as "Include in Projections" and, according to cost type, totals them by Flat Cost or Per Person Cost. This is to get to a base PPDO (per person double occupancy) price. Upgrades, triples and single supplements should be handled outside the estimator.
Note:
ViaTour will use the RmDouble cost divided by 2 to get to PPDO cost for the estimator. This goes into per person.
Single room costs are automatically excluded from estimator. You should also exclude add-ons or options such as Business air, since we are only looking for a tour base price with the estimator.
Count is not used in the estimator, it is only used to tell you the number you are holding.
Multiplier is used in the estimator as the number you are buying. For example, you may be estimating $30 a lunch for 5 lunches. "5" is entered in the multiplier field.
Currency is used in the cost estimator.
For Total Flat Costs, ViaTour then divides by the Tour Paying Minimum and Maximum number of passengers to generate PP Flat Cost.
PP Flat Cost + PP Cost = Total PP Cost
Projected Profit is the difference between projected income and projected costs.
You can "tweak" the projections from the sell price, the tour sell min/max or from within services by changing costs.
The cost estimator is handy for not only generating a selling price, but also for making a tour work when participation is low. Rather than working in your original service records, we recommend setting up a "Fake Tour" to play with the numbers. The Tour Copy Function makes this easy. Be certain to rename your new tour to distinguish it, i.e.: "Paris_04 w/ 10 pax." Also delete this when you are ready to modify your original records. Often it is handy to print service details for the original costing, and mark the changes on there that you decide to make to the records, so when you make changes to the original, it is a quick process to adjust.
