Invoicing a Sponsoring Organization for a Tour

1. Set up the Vendor record and a Contact person who will receive the invoice on the vendor records. (If a Vendor record already exists, go straight to step 2.)

2. Assign the Vendor to the tour with the role "Sponsor" and check "Primary."

3. Assign the Contact to the tour with the role "Organizer," check Primary and Travels on Tour as true. The contact will appear in your list of reservations with the status of "Organizer." (Make sure this is in your code table as a Reservation Status. Adding Reservation Status in the Code Table.

4. Assign reservations to the Organizer by choosing the organizer's name in the "Bill To" field, for each reservation record you want assigned. 

Note: Some clients skip this step and use reports to determine the total amount owed.  So a list will tell them the number of participants, rooming will tell them the number of Single Supplements to charge, and so on.

5. To make the invoice easy to understand, you may wish to list traveler by name in the component note field.  This can be cut and pasted from Word.
