Create Mail Merge Letter template with Bookmarks

Each letter has certain fields available depending on the Query you choose. See the book mark dictionary for options.

a. Print the document called ViaTour - Mail Merge Bookmark Dictionary so you have a list of ALL available data fields. Here are a few samples book marks:

b. Open a Word doc and save it with a meaningful name. Also remember where you are saving it and if other ViaTour users will be pulling it, be sure it is on a shared server.
c. Now begin composing your letter. 
d. To insert data, click on the toolbar on Insert and click "Bookmarks" or use keystrokes:  ALT + I then K to get Microsoft's Bookmark Window. 
e. This Microsoft Word Bookmark Form opens:


f. In the Bookmark name field, type in the field you want, using the bookmark dictionary (value is in 1st column).  Click the Add Button

The form closes.  Repeat adding bookmarks until all data fields are added, then save and close the Word document.
Note:
When you reopen the Bookmark Form, you will type over the old value with a new one then click ADD.
If you want to use an existing bookmark again, select it from the list and then click ADD.
Bookmarks only display in the word doc if you have a setting to "show bookmarks" (see below how to set this.) Bookmarks display as little gray brackets.
To edit or delete a bookmark from your letter, select them with your mouse (a tad tricky) and format (bold, italics) as you would text.
To hide or show bookmarks in Word click on the menu called: Tools- Options-View Tab-here tick or un-tick the bookmarks box.
